When a business needs an AI bot-and where its limits are

AI bots can help when a task involves varied wording and text. First check whether it needs a language model at all. A button-based bot may be simpler and more predictable for displaying a schedule.

1. Choose a bounded task

Start with searching approved instructions, drafting replies or classifying incoming requests. Describe the input and output: an employee might receive a draft with a source and decide whether to send it.

Compare the proposal with search, forms and a scripted bot. Stable rules with few possible outcomes may not benefit from a model's added cost and uncertainty. Choose the work process before choosing the technology.

2. Prepare knowledge and boundaries

The knowledge base needs an owner, current versions and an update process. Define which data each user may access. A CRM connection does not grant permission to view every customer record.

Set action boundaries: an assistant can propose a reply, while changing a contract or charging money needs separate confirmation. Treat user messages and retrieved documents as data, rather than permission to change system settings or authority.

3. Plan for errors and human handoff

A language model can confidently produce an incorrect answer. Anthropic recommends grounding responses in sources and allowing the model to acknowledge missing information. These measures reduce risk without guaranteeing accuracy.

Provide an honest no-information response and a clear path to a person. Test ambiguous questions, outdated instructions, contradictions, attempts to access other people's data and service outages. Evaluate appropriate refusals as well as fluent answers.

4. Measure value and cost

Build a test set of representative enquiries without unnecessary personal data. Compare handling time, the proportion of replies needing correction and handoffs. Decide what counts as useful before the pilot.

Costs include the model, document retrieval, storage, integrations, knowledge maintenance and quality review. Limit conversation length and request budgets, and monitor technical failures. A small pilot focused on one task can establish value without promising to replace a whole department.

What to do next

A strong first AI project has a narrow task, verifiable sources, limited permissions and human support for difficult cases. Start with a pilot and agreed quality criteria.
